Overview of the Position:
Professional Linguistic Upper Studies (PLUS) runs summer English language study and travel programs for international high school students across North America. The programs allow students the opportunity to take English classes and explore the surrounding regions while staying at North American colleges and universities.

This is a seasonal, full-time, salaried, and in-person position that is integral to the success of our international programs. The Campus Operations Manager is responsible for overseeing all on-campus and off-campus operations for PLUS participants, including: activities, excursions, housing, and dining for each group. The Campus Operations Manager works closely with the PLUS Team to problem-solve issues that arise and deal with emergency situations. The Campus Operations Manager directly manages the Activity Manager and oversees a team of Activity Coordinators and Counselors. Full room and board is provided for the duration of employment. Residing on campus is a requirement of the position.

Time Commitment:
  • The employment period for the Campus Operations Manager position is generally 4-8 weeks in duration during the summer, depending on the program dates. In the application, there is space to indicate and explain your availability during the summer months.
  • The Campus Operations Manager is expected to work a flexible schedule. Night and weekend work is expected to meet the demands of the program and no vacation time can be honored during the employment period for this position.
Travel:
  • Regional travel is required. Travel to excursion destinations and any work travel during the employment period will be provided and covered by PLUS.
  • Residential employees are responsible for all travel costs to and from campus location prior to and at the conclusion of their employment period. Travel during the program is covered by PLUS.
Compensation:
  • This is a seasonal position, and compensation is based on a variety of factors including length of employment, campus location, and program size. If earnings are annualized, the pay scale for this position is:  $44,200.00-$76,700.00.
  • Housing for duration of the employment period
  • Meals (full board) for the duration of the employment period
Specific Duties and Responsibilities:
The following is expected of the Campus Operations Manager:

Standard Expectations
  • Interact with groups of international high school students and their group leaders in a professional, enthusiastic, and customer service-oriented manner
  • Be familiar with, adhere to, and enforce PLUS policies and procedures, including maintaining Covid-19 protocols
  • Ensure the safety of all participants, including taking them to the hospital, if necessary, and documenting all hospital visits for insurance purposes
  • Be familiar with campus-specific information, including everything in the PLUS Guide
  • Maintain frequent communication with PLUS staff
  • Be on call for the entire duration of the program
  • Assist with emergency situations, as needed
  • Complete all PLUS assessments received during employment period
  • Assist in duties other than the aforementioned and the following, as assigned and as they arise
Staff Supervision
  • Directly supervise the Activity Manager and oversee all Activity Coordinators and Counselors
  • Train all Activity Coordinators and Counselors
  • In conjunction with the Activity Manager, create a weekly schedule for Activity Coordinators and Counselors
  • In conjunction with the Activity Manager, hold daily staff meetings to ensure that all program and position needs are met
  • Conduct regular performance evaluations of the Activity Manager
  • In conjunction with the Activity Manager, conduct regular performance evaluations of the Activity Coordinators
  • Motivate the Activity Manager, Activity Coordinators, and Counselors throughout the duration of the program.
University Liaison
  • Serve as primary point of contact for all on-campus university departments
  • Responsible for the following Housing, Dining, and Office responsibilities:
    Housing
  • Coordinate all groups’ check-in and check-out from campus with the host institution
  • Coordinate weekly room and bathroom cleanings with host university and/or cleaning company, as needed
  • Create rooming lists for each session, and communicate changes to rooming lists to University and PLUS Head Office, as needed
  • Coordinate the collection, organization, distribution, and replacement of room keys
  • Serve as primary point of contact to the linen supply company (if applicable)
  • Coordinate linen distribution, changeover, and pick-up (if applicable)
  • Responsible for communicating with Facilities/Maintenance to fix any problems that arise in the residence halls
    Campus Facilities
  • Confirm bookings for all on-campus facilities for PLUS activities (i.e. multipurpose rooms, fields, courts, theaters, pools, etc.) and communicate any changes to the Activity Manager and the PLUS Head Office
  • Communicate any technology requirements for events to the host institution
  • Confirm all classroom bookings with host institution and communicate any changes to the Academic Supervisor and the PLUS Head Office
    Dining
  • Regularly update on-campus meal spreadsheet in accordance with staff and student schedules and submit to host institution on a weekly basis
  • Confirm on a daily basis all on-campus meals and boxed meals, including numbers, meal times and pick-up times (for boxed meals) with dining hall on campus
  • Provide dining hall with a list of food allergies for each meal; ensure all food allergy requests are met for on-campus and boxed meals
  • Coordinate the distribution of boxed meals prior to participants’ departure from campus
  • Communicate any last-minute changes to on-campus meals to dining hall and PLUS Head Office
On-Campus Activities
  • Confirm bookings for all on-campus facilities for PLUS activities
  • In conjunction with managers, conduct a “Welcome Night” presentation that orients students to the PLUS program
  • Attend and participate in talent shows and graduation ceremonies
Off-Campus Operations
  • Oversee all excursions and activities
  • Communicate regularly with transportation companies to ensure all transportation needs are confirmed and met for PLUS excursions and airport transfers
  • Confirm all excursion-related bookings with ticket vendors and off-campus meal providers
  • Coordinate all airport arrival and departure schedules; assist in the execution of participant arrival and departure days
  • Coordinate rooming lists for hotels for any overnight excursions
Customer Service
  • Provide superior customer service to group leaders and students
  • Be readily available and present when participants are on campus to speak with group leaders and students; schedule and hold daily office hours as needed
  • In conjunction with the other manager(s), conduct group leader meetings at the beginning of each session, welcoming them and providing an overview of the program
  • Liaise with Academic Supervisor to ensure all students are assigned a teacher and classroom; provide group leaders with a list of their students’ classrooms and teachers
  • Facilitate group leader meetings with the Academic Supervisor, as needed and as requested
  • Liaise with overseas PLUS offices, as needed
Office & Miscellaneous
  • Responsible for the distribution, tracking, and reconciliation of all participant per diems and/or gift cards
  • Responsible for tracking Company spending; reconcile team’s spending against weekly bank statements
  • Responsible for collecting and recording all fees for lost keys, room damages, and extra excursions
  • Responsible for depositing all money collected for lost keys, room damages, and extra excursions within 24 hours of collection
  • Responsible for appropriate use and documentation of Company card
  • Responsible for ensuring the safekeeping of all participant passports and all money collected for lost keys, room damages, and extra excursions
  • Liaise with the Academic Supervisor to ensure a smooth coordination of the academic experience
  • Utilize Plus Vision Software and the PLUS Master Program to properly understand participants’ arrivals and departures from the program
  • Help coordinate participant arrival and departure days from the program
  • Participate in weekly meeting with the PLUS Head Office and other managers
  • Review campus-specific incident reports
Qualifications and Desired Skills:
  • Authorization to work in the U.S. required
  • Must be 18 years or older
  • Bachelor’s degree required (at the time of start date)
  • Logistics coordination experience required
  • Customer service experience required
  • Command of Microsoft Excel and Google Drive required
  • Prior supervisory experience required
  • Administrative experience strongly preferred
  • Experience in the hospitality and tourism industry strongly preferred
  • Experience with summer or study travel programs strongly preferred
  • International and intercultural experience strongly preferred
The successful candidate will have strong coordination and organizational skills and be able to work with diverse groups of people in a high-pressure environment. They will be detail-oriented, self-motivated, adaptable, professional, enthusiastic, and always have a positive attitude. The successful candidate will also have strong problem-solving, customer service, multi-tasking, communication, management, and interpersonal skills.
