Overview of the Position:
Professional Linguistic Upper Studies (PLUS) runs summer English language study and travel programs for international high school students across North America. The programs allow students the opportunity to take English classes and explore the surrounding regions while staying at North American colleges and universities.

The Program Coordinator position is a seasonal, salaried, and full-time position at our North American Head Office. The Program Coordinator provides support to our North American PLUS campuses, our online programs, and our Head Office. The Program Coordinator works under the direct supervision of the Program Manager.

This Position is Perfect for:

  • Detail-oriented individuals who enjoy being organized, and are very familiar with Google Sheets and Microsoft Excel
  • Multi-taskers who can manage multiple priorities simultaneously
  • Quick learners who are good at taking direction

Dates of Employment:

  • May 16, 2022 – August 12, 2022; dates may be flexible for the right candidate
  • Some part-time hourly work may be available during the spring

Location:

  • In-person work in Hoboken, New Jersey is preferred, but hybrid or remote work may be possible.
  • Some domestic travel, night, and weekend work may be necessary during the summer months to ensure the safety and satisfaction of all participants.

Specific Duties and Responsibilities:
The following is expected of the Program Coordinator:

Standard Expectations

  • Be familiar with, adhere to, and enforce all PLUS policies and procedures, including maintaining all Covid-19 protocols
  • Together with the PLUS staff, ensure the safety of all participants
  • Interact with groups of international high school students and their group leaders in a professional, enthusiastic, and customer service-oriented manner
  • Maintain frequent and professional communication with PLUS staff
  • Responsible for appropriate use and documentation of Company credit card and rental car, if applicable
  • Be on call to assist with emergency situations, as needed
  • Assist in duties other than the aforementioned and the following, as assigned and as they arise

Program Coordination

  • Book and submit payment for all tickets and off-campus meals for each PLUS campus
  • Update transportation companies with logistical changes to transportation needs on a weekly basis
  • Book and submit payment for transportation companies, as directed
  • Maintain clear records of all purchases and transactions
  • Coordinate airport arrival and departure transfers
  • Liaise with on-site staff to organize, book, and submit payment for all add-ons and extra excursions (tickets and transportation) at each PLUS campus
  • Assist in booking all rooms, fields, theatres, pools, etc. for on-campus activities/events at each campus prior to the start of the program
  • Liaise with host campuses regarding the coordination of dining, housing, campus facilities, check-in/check-out dates, participant and staff rooming, site set-up, etc.
  • Actively familiarize themself with the particulars of each PLUS campus and management team
  • Assist in creating all itineraries per session per campus
  • Assist in creating and editing site guides for each campus
  • Assist the Program Manager and Director of Operations in training seasonal staff at each site
  • Check in daily with each campus staff
  • Create rosters by group for each session at each campus
  • Assist in the creation of and approve rooming lists for all sites
  • Assist in communicating with hotels regarding rooming needs
  • Assist in monitoring PLUS social media and the PLUS app
  • Trouble-shoot issues that arise at the various campuses
  • Maintain contact with outside vendors and PLUS host campuses, as needed
  • Assist the Director of North American Operations in the reconciliation of all purchases made at each campus
  • Inventory all PLUS supplies before and after program dates
  • Assist in the logistics coordination of online and in-person courses, as needed
  • Perform administrative tasks, as needed

Qualifications and Desired Skills:

  • Authorization to work in the U.S. required
  • Bachelor’s degree required
  • Command of Google Drive (including Google Sheets and Google Slides) and the Microsoft suite of products (including Microsoft Excel, Word, and PowerPoint) strongly preferred
  • International and intercultural experience strongly preferred
  • Administrative experience preferred
  • Valid driver’s license preferred

Candidates must work well under pressure and have a sense of humor. Candidates must also be detail-oriented, self-motivated, adaptable, professional, enthusiastic, organized, and positive. Successful candidates will also have strong problem-solving, customer service, multi-tasking, communication, leadership, and interpersonal skills.
