Overview of the Position:
Professional Linguistic Upper Studies (PLUS) runs summer English language study and travel programs for international high school students across North America. The programs allow students the opportunity to take English classes and explore the surrounding regions while staying at North American colleges and universities.

The Academic Coordinator position is a part-time, hourly, six-month position during the spring and summer months at our North American Head Office. The Academic Coordinator provides support to our online programs and our North American PLUS campuses. In the spring, work includes updating PLUS curricula, implementing online academic products, and assisting with the recruitment and hiring of instructors and logistics management. During the summer, the Academic Coordinator provides support to academic staff for in-person and online programs, and assists in managing the logistics of PLUS academic programs.

Dates of Employment:

  • February 14, 2022- August 10, 2022; dates may be flexible for the right candidate
  • Anticipated hours for the position: 10-25 per week, depending on program needs and employee availability
  • Springtime hours can be flexible within normal business hours, Monday through Friday.
  • Occasional Saturday morning work may be required for some dates during the summer months.

Location:

  • In-person work in Hoboken, New Jersey is preferred, but hybrid or remote work may be possible.

Specific Duties and Responsibilities:
The following is expected of the Academic Coordinator:

Standard Expectations

  • Be familiar with, adhere to, and enforce all PLUS policies and procedures, including maintaining Covid-19 protocols
  • Together with the PLUS staff, ensure the safety of all participants
  • Interact with groups of international high school students and their group leaders in a professional, enthusiastic, and customer service-oriented manner
  • Maintain frequent and professional communication with PLUS staff
  • Responsible for appropriate use and documentation of Company credit card and rental car, if applicable
  • Assist in duties other than the aforementioned and the following, as assigned and as they arise

Curriculum, Instruction, & Assessment

  • Review, revise, and update all EFL and specialty course curricula for in-person and online lessons
  • Create new curricula and/or lesson plans as needed
  • Be adequately familiar with contents and objectives of curricula and lesson plans to be able to discuss them with academic staff, clients, and partner offices
  • Update all PLUS academic worksheet and video links as needed
  • Create a worksheet printing schedule for in-person lessons to provide to Academic Supervisors
  • Assist in reviewing, revising, and updating EFL and specialty course assessments and end-of-course certificates; create new certificates as needed
  • Teach online classes when requested

Program Coordination

  • Assist in managing all logistics of PLUS U.S. in-person and online academic programs
  • Assist in the coordination of online lessons for high school programs
  • Assist teachers, parents, and students
  • Assist in placing students into classes based on their EFL levels and assigning them instructors and classrooms/ Zoom rooms
  • Assist in placing students into specialty courses based on enrollment and assist in assigning them instructors and classrooms/Zoom rooms
  • Assist in creating classroom rosters and attendance sheets for each session and class, updating as needed as students switch levels, courses, or instructors
  • Assist in adjusting class rosters and attendance sheets during overlapping sessions
  • Assist in liaising with host campuses to book and cancel classrooms in a timely manner, ensuring all classroom needs are met
  • Communicate with the host campuses regarding classroom needs and technology issues, as needed
  • Assist in coordinating the printing and pick-up of end-of-course certificates for in-person programs
  • Assist in ordering instructional supplies and distribute to PLUS campuses
  • Liaise with overseas partner offices, as needed

Supervision & Training

  • Assist in instructor recruitment and hiring for in-person and online lessons
  • Assist in Academic Supervisor recruitment and hiring
  • Motivate academic team throughout the duration of the program
  • Assist in updating the PLUS Instructor Manual
  • Assist in updating PLUS instructor and academic supervisor trainings
  • Assist in training and providing an orientation for all interns, instructors and Academic Supervisors
  • Assist in scheduling all academic staff and clearly communicate schedule to instructors and Academic Supervisors
  • Fill in as substitute teacher and/or substitute academic supervisor as needed (at regional locations)
  • Collaborate with the instructors and PLUS Head Office regarding instructional methods and the PLUS curriculum

Qualifications and Desired Skills:

  • Authorization to work in the U.S. required
  • Must be 18 years or older
  • Bachelor’s degree required; TESOL certificate and/or Master’s degree preferred
  • Prior teaching experience required; prior EFL/ESL teaching experience strongly preferred
  • Curriculum design and lesson planning experience required
  • Command of Google Drive (including Google Sheets and Google Slides) and the Microsoft suite of products (including Microsoft Excel, Word, and PowerPoint) required
  • Strong organizational skills and attention to detail required
  • Excellent time management skills required
  • Prior administrative or coordination experience required

Successful candidates will be self-motivated, professional, and adaptable, with strong interpersonal, communication, and problem-solving skills, and be able to work independently.
