Professional Linguistic Upper Studies (PLUS) operates English as a Foreign Language (EFL) programs across the world. PLUS U.S. Corporation, headquartered in New York City, runs summer English language study and travel programs for international high school students across North America. The programs allow students the opportunity to take English classes and explore the surrounding regions while staying at North American colleges and universities.

 

Overview of the Position:

The Assistant Activity Manager is responsible for assisting the Activity Manager in all off-campus operations and excursions for PLUS participants. The Assistant Activity Manager also oversees all on- and off-campus activities for participants and is responsible for PLUS social media. The Assistant Activity Manager works closely with the Activity Manager, the Activity Coordinator, the Activity Leaders, and the Campus Administrator to problem-solve issues that arise and deal with emergency situations. The Assistant Activity Manager directly manages the Activity Coordinator and a team of Activity Leaders.

In addition to a salaried wage, full room and board is provided for the duration of employment; residing on campus is required. PLUS U.S. employees are expected to work a flexible schedule. Night and weekend work is expected to meet the demands of the program and no vacation time can be honored during the contracted employment period. Regional travel is required and will be provided by PLUS. Employees are responsible for all travel and moving costs to and from campus location prior to and at the conclusion of their contract. Travel to excursion destinations and any work travel during the contracted period will be covered by PLUS.  

 

Duties and Responsibilities:

The following is expected of the Assistant Activity Manager:

Standard Expectations

  • Interact with groups of international high school students and their group leaders in a professional, enthusiastic, and customer service-oriented manner
  • Be familiar with, adhere to, and enforce PLUS U.S. policies and procedures
  • Ensure the safety of all participants, including taking them to the hospital, if necessary, and documenting all hospital visits for insurance purposes
  • Be familiar with campus-specific information, including everything in the PLUS Guide
  • Maintain frequent communication with PLUS staff
  • Be on call every night for the duration of the program
  • Assist with emergency situations, as needed
  • Complete all PLUS U.S. assessments received during employment period
  • Assist in duties other than the aforementioned and the following, as assigned and as they arise

Supervision

  • Directly supervise the Activity Coordinator and all Activity Leaders
  • In conjunction with the Activity Manager, train the Activity Coordinator and Activity Leaders
  • Train incoming Activity Leaders who start their contracts mid-summer
  • Work closely with the other manager(s) and attend daily staff meetings to ensure that all program and position needs are met
  • Assist the Activity Manager in creation of a weekly schedule for activity staff
  • In conjunction with the Activity Manager, conduct regular performance evaluations of the Activity Coordinator and the Activity Leaders
  • Motivate the Activity Coordinator and Activity Leaders throughout the duration of the program

Off-Campus Activities (Excursions)

  • Assist the Activity Manager in coordinating, leading, and ensuring the proper and smooth execution of all off-campus excursions for PLUS U.S. students and group leaders, including being the point-person on day and overnight excursions, as needed
  • Assist the Activity Manager in communicating with transportation companies to ensure all transportation needs are met for PLUS excursions and airport transfers
  • Assist the Activity Manager in confirming all excursion-related bookings with ticket vendors and off-campus meal providers
  • Assist the Activity Manager in coordinating all airport arrival and departure schedules; assist in the execution of participant arrival and departure days
  • Provide hotel(s) for any overnight excursions with a finalized rooming list upon check-in when serving as the point-person on overnight excursions
  • Coordinate hotel check-ins and check-outs for overnight excursions when serving as the point-person on overnight excursions
  • Oversee the planning, coordination, and implementation of off-campus activities for PLUS participants; implement off-campus activities when Activity Coordinator is not present

On-Campus Activities

  • Oversee the planning, coordination, and proper execution of on-campus activities; implement on-campus activities when Activity Coordinator is not present
  • In conjunction with the other manager(s), conduct a “Welcome Night” presentation that orients students to the PLUS U.S. program
  • Attend and participate in talent shows and graduation ceremonies; attend and participate in other on-campus programming as needed
  • Ensure all Activity Leaders are prepared for at least two group talent show acts

Customer Service

  • Liaise with group leaders, understanding and addressing their expectations and concerns
  • Attend and/or conduct meetings with group leaders, as needed

Office & Miscellaneous

  • Update PLUS social media
  • Oversee campus signs and PLUS branding
  • Assist with the confirmation of all on-campus facilities for PLUS activities
  • Assist the Activity Manager in the distribution, tracking, and reconciliation of all participant per diems and/or gift cards
  • Responsible for tracking Company spending
  • Responsible for appropriate use and documentation of company card
  • Assist in preparing the campus for students’ arrival
  • Assist in participant check-in and check-out processes, as needed
  • Participate in weekly meeting with the PLUS U.S. Head Office and other manager(s)
  • Fulfill the role of Activity Leader, as needed

 

Qualifications and Desired Skills:

  • Authorization to work in the U.S. required
  • Must be 18 years or older
  • High school diploma required; successful completion of two years of higher education strongly preferred
  • Customer service experience required
  • Prior supervisory experience strongly preferred
  • Event planning or coordination experience strongly preferred
  • Experience in the hospitality and tourism industry strongly preferred
  • Experience with summer or study travel programs strongly preferred
  • Command of Microsoft Excel and Google Drive strongly preferred
  • International and intercultural experience strongly preferred
  • Administrative experience preferred

The successful candidate will be a leader with strong supervisory skills. He/she will have strong coordination and organizational skills and be able to work with diverse groups of people in a high-pressure environment. He/she will be detail-oriented, self-motivated, adaptable, professional, enthusiastic, and always have a positive attitude. The successful candidate will also have strong problem-solving, customer service, multi-tasking, communication, management, and interpersonal skills.
